Online Tutoring — Additional Terms

These additional terms apply to all online/remote tutoring sessions delivered by [Your Name] trading as [Business Name]. They supplement the main Tutoring Client Agreement and should be read alongside it.

1. Platform and Technical Requirements

Online sessions are delivered via: [Zoom / Microsoft Teams / Google Meet / other]. The Client is responsible for:

• Having a reliable internet connection capable of video calls
• Installing and maintaining the relevant software or app (free to download)
• Ensuring the device has a working camera and microphone
• Having a reasonably quiet and private space for sessions

The Tutor will provide session links or meeting details at least [30 minutes / 2 hours] before each session.

2. Technical Difficulties

Where connectivity issues affect part of a session (e.g. the call drops for 10 minutes), the Tutor and Client will agree a fair resolution. A partial credit or brief make-up session may be offered at the Tutor's discretion.

Both parties should have a fallback plan — for example, the Tutor's phone number to send materials via email if the call fails entirely.

3. Recording Policy

Sessions will not be recorded by the Tutor without prior written consent from the Client (or parent/guardian for under-18 students).

Where recording is agreed:

• The recording is for the student's personal review only
• It will not be shared with any third party or posted online
• The Tutor's copy will be deleted within [14 / 30] days
• The Client's copy should also be deleted once no longer needed for study

The Client must not record sessions without the Tutor's consent. Unauthorised recording may be a breach of UK privacy law.

4. Screen Sharing and Digital Resources

The Tutor may share their screen during sessions to display worksheets, worked examples, or presentations. All materials shared are the intellectual property of the Tutor and are for the student's personal use only.

The Client must not screenshot, screen-record, or otherwise capture shared materials for redistribution without written consent.

5. Under-18 Students — Additional Requirements

For online sessions with students under 18:

• A parent or guardian must be available in the building at all times during the session
• The parent/guardian should be contactable by phone during the session
• Sessions should take place in a room with the door open, visible to a parent if possible
• The Tutor will not contact under-18 students directly outside of session times without copying a parent/guardian
• Session messaging (sending links, worksheets) will be sent to the parent/guardian email, not directly to the student unless the parent has specifically agreed otherwise

6. Professional Conduct Online

Both parties agree to conduct online sessions professionally and respectfully. The Tutor reserves the right to end a session immediately if the student or other parties present behave in a way that is inappropriate, abusive, or causes concern for the Tutor's safety.

Sessions will take place with the Tutor's face visible on camera throughout. If the Client or student disables their camera without explanation, the Tutor may pause the session.

7. Data and Privacy

Video call platforms process data in accordance with their own privacy policies. Where these platforms are based outside the UK (e.g. Zoom in the USA), data transfer occurs under standard contractual clauses. Clients should review the platform's own privacy notice.

[Business Name] does not store video call data beyond the session. The Tutor's privacy notice applies to all other data processed.

8. Jurisdiction

These terms are governed by the law of England and Wales, regardless of where the Client is located.
